Executive Director Position Description


HARBOR, Inc. is a citizen-based non-profit in the Harbor Springs area that works with local jurisdictions and organizations in the community by building connections, fostering collaboration, and turning ideas into action. HARBOR Inc. works to envision an ideal quality of life in our area by conducting projects and convening people to achieve our vision.

The Executive Director reports to the HARBOR, Inc. Board of Directors. Members of the Board are elected by HARBOR, Inc. general membership that is defined as those citizens who provide financial support to HARBOR, Inc. The Board of Directors may structure the Executive Director position as either full-time or part-time and as either paid employee or contract employee.

Salary range: $30,000-$35,000 based on experience and skills
Part time position, approximately 20 hours/week
Paid holidays, sick time, and vacation time
General Skill Set and Background
The Executive Director will typically hold a baccalaureate degree or higher. Successful professionals in this role usually have experience in community and economic development, project management, and fundraising for public projects.
Administrative and Financial Skills
The Executive Director is responsible for managing incoming funds, maintaining financial records, and disbursing funds. Fund disbursement typically covers administrative purposes such as accounting, rent, and postage, as well as program areas like engineering studies, events, and promotions. The Executive Director works directly with suppliers of accounting, printing, office facilities, and other services related to the organization's operations.
Other Skills and Tasks Expected:
Chairing and Running Meetings: Leading and facilitating meetings effectively.
Organizing Meeting Agendas: Preparing and structuring agendas for meetings.
Issue Clarification and Conflict Resolution: Addressing and resolving issues and conflicts as they arise.
Providing Updates: Keeping Board members and the community informed with regular updates.
Finance and Development Skills
The Executive Director is the lead fundraiser for HARBOR, Inc. The Executive Director cultivates knowledge of the foundation, philanthropic and general donor community in Northern
Michigan. Members of the Board are often called upon to provide support in fundraising outreach to assist the Executive Director. The Executive Director uses mailings, individual meetings, appearance at events and other methods to conduct fundraising outreach.
The Executive Director creates budget proposals each year for review and approval of the Board. The Executive Director maintains ongoing accounting of manages budgets for the organization with support from hired professional accounting services.
Communication Skills
A successful Executive Director has strong knowledge of the people, groups, organizations, institutions, and traditions in the Harbor Springs area. They identify community needs and quality-of-life enhancement project ideas. The Executive Director serves as the “face” of HARBOR, Inc. to the community.

Clear and Effective Public Speaking and Writing Skills: Communicating clearly and effectively in public and written formats.
Press Releases and Media Interviews: Writing press releases and participating in media interviews.
Issue Clarification and Conflict Resolution: Addressing and resolving issues and conflicts.
Prioritizing Public Activities: Managing involvement in various public activities.
Scheduling and Timing: Maintaining a strong sense of the schedule, calendar, and timing of public events.
Knowledge of Governmental Processes: Understanding City Council, Township Boards, Planning & Zoning, Tribal Governance, and Taxation processes.
Programmatic Skills
The Executive Director has strong abilities regarding the schedule, goals and resources needed to complete projects in the community. This person is often called upon to be the convener, organizer and planner for projects in the community. The Executive Director can set achievable goals and milestones for projects and report on progress.
Loft Coworking Space Responsibilities
The Loft Coworking Space, one of Harbor Inc.’s ongoing programs, provides office space for the Executive Director and has the capacity to accommodate 16 other individuals. The Executive Director is responsible for managing this small business and being physically present a few days a week to ensure smooth operations, answering members’ questions, and oversee payments for space usage, and ensure members understand their roles in co-working at the Loft.
Other Loft Responsibilities:
 Develop and Maintain the Loft Yearly Budget: Creating and managing the annual budget.
Order and Restock Supplies: Ensuring availability of paper products, coffee, water, office, and printer supplies.
Maintain Relationships with Suppliers: Managing relationships with the landlord, electronic locksmith, rug service, cleaning service, K-cup recycling, computer maintenance, and printing plan provider.
Pay Rent, Utilities, and Supplier Invoices Monthly: Handling monthly payments for rent, utilities, and supplier invoices.
Work with Proximity: Utilizing the workspace management platform for member registration, payments, business hours scheduling for the electronic locking system, reporting, and support.
Oversee Day-to-Day Orderliness: Maintaining the cleanliness and orderliness of the Loft, including trash disposal, recycling, and periodic refrigerator cleaning.
Ensure Harmony and Code of Conduct: Ensuring members work harmoniously and adhere to the Loft code of conduct.
Seasonally Manage the Privacy Pod Schedule: Overseeing the scheduling of the Privacy Pod.
